Do I need to login to make a reservation?

You do not need to log in to make a hotel reservation. Once you reserved your hotel, you will receive an email with login details that are required if you need to change or cancel your booking. You will receive a confirmation of your reservation in a separate email once you have completed the entire booking process by submitting at the end.

My browser is not supported, what do I do?
Our website is optimized for newer browsers only. Newer browsers protect you better against scams, viruses, trojans, phishing and other threats. They also fix security holes in your current browser. With new features, extensions and better customisability, you will have a more comfortable web-experience.

I want to reserve for nights that are indicated as 'n/a' in the overview / The system tells me 'no rooms available' when I make my reservation. What do I do?
It is possible that the room block is already sold out, or that you try to book for extra nights that are not included in the room block. If other dates are still available in the overview of available rooms and you want to add extra nights to your reservation, please make your reservation online for the dates that are still available in the room block. When you put your request for extra nights in the field 'Other remarks' in the booking form, we will contact the hotel to reserve the extra nights for you. Once the extra nights are confirmed by the hotel, you will receive a written confirmation by email. How do I know if there is more than one room available?
If you open the event site you can find the list of available hotels. Then click on the hotel of your choice and you will find the availability at the bottom of the page.

What policies are applicable?
On the hotel page the room rates, rate inclusions and cancellation policy is mentioned. Before you submit your reservation you need to agree with the General terms and conditions for the Hotel and Catering Industry. To access these conditions you can click on the link in the booking form, before you submit your reservation.

What if I have a special request like an early arrival or a twin bed?
When making your reservation you have the possibility to enter special requests in the remark field or you can contact us directly. If you want to have a guaranteed early arrival at the hotel, you need to book the night prior to your arrival as well.

Can I make multiple reservations at once?
Yes, you can reserve up until 9 rooms at once, with the same credit card. If you need to guarantee reservations with individual credit cards, you have to reserve each room one by one.

The hotel of my choice is not available. What can I do?
Should you prefer to book another hotel than the hotels listed on the event page, contact us at This email address is being protected from spambots. You need JavaScript enabled to view it., so we can check if there are additional rooms available in the hotel of your preference. Please mention the name of the meeting you will attend in the subject line.

How can I make changes to my reservation?
You can login on the website with the login details you received after you confirmed your booking. Once logged in, you click on Your bookings, where you find all information about your booking, book additional nights (if available), cancel your reservation and change your credit card details.

Can I book an additional room?
This is possible, however you need to use the email address of the guest which will be occupying the room.

Why do you need my credit card details and is it safe to enter the details online?
It is completely safe to enter your details online. Our website is Verisign secured and uses SSL encryption. The credit card details are required to guarantee your reservation. Your credit card will only be used as a guarantee of the reservation; in case of late cancellation or no show the hotel may charge it. The final hotel bill will be settled in the hotel during your stay.

Special requests
For all general questions about the hotel, other than your reservation (for example check in time, check out time, times for breakfast, how to reach the hotel, special requests, etc.) you can contact the hotel directly. Payment of the room(s)?
Payment has to be made directly to the hotel. The credit card you provided in the reservation only serves as a guarantee for your reservation and will only be charged in case of no show or late cancellation. The method of payment is mentioned on your confirmation. After check out you can contact the hotel directly to request a copy of the invoice.

I made a reservation, but did not receive a confirmation. What do I do?
Normally you receive a confirmation by email within 15 minutes after you made your reservation online. If you did not receive a confirmation, please check your spam folder. If the confirmation is not in your inbox or spam folder, there is a chance you did not complete your reservation correctly. Please contact us at This email address is being protected from spambots. You need JavaScript enabled to view it., you will then receive a reply from us on the next regular work day. Preferred is open during weekdays from 9 am until 5.30 pm. During the weekend the office is closed and your email will not be read.
